Before NightCheck

A paper process with a difficult morning handoff.

Mitchell KOA used standard KOA night-registration envelopes and a printed campground map. Before closing, staff marked unavailable sites with a dry-erase marker. Arriving guests had limited information for choosing a site and completed their registration and payment details on paper.

The next morning could mean deciphering handwriting, identifying missing information, or trying to collect payment from a guest who had already left. Management also had no practical way to report on after-hours registrations across the season.

What the numbers show

NightCheck served the campground's real after-hours mix.

All 73 registrations occurred after the office closed. Every stay was for one night and had an average booking lead time of zero days—exactly the pattern expected at an interstate Journey campground serving travelers deciding where to stop that evening.

NightCheck handled 50 RV registrations and 23 tent registrations across 38 distinct sites. Mitchell KOA is exploring the addition of after-hours cabin registration in the future.

Calls were higher during the May launch ramp. After the workflow and instructions were refined, onsite assistance calls averaged approximately one per week.

Figures are aggregate live NightCheck reporting for May 1–August 31, 2026. Gross payments were $4,741.21, with $98.99 refunded and $4,642.22 remaining after refunds. Campground management confirms that NightCheck is used for after-hours activity. Mitchell KOA operated longer office hours in 2026 than in 2025, so this case study does not make a direct year-over-year volume comparison.
